- Duties and Responsibilities:
Greet, assist and direct visitors.
Gather and log data into Excel spreadsheets
Answer multiple telephone lines and give out routine information.
Answer all inquiries from visitors, potential businesses, etc… Be able
to tell them about Broken Bow and the surrounding areas.
Check details on documents, reports, forms, newsletters, entry forms,
and brochures for accuracy and completeness.
Assist in ordering office supplies, maintaining the office equipment,
ordering brochures and keeping the office well supplied.
Make soliciting phone calls and write soliciting letters.
Assist the Director and Chamber Board of Directors with all events
and meetings.
Will compose, deliver and/or mail all types of letters, including
membership correspondence.
Recruit new members.
Use the computer to enter and retrieve data and conduct research.
Deliver and pick-up various materials, run errands and pick up lunch
Assist in the recruiting of new members and follow-up with existing
members.
Assist with the promoting of all Chamber programs and activities
through the media.
Type press releases
Design and layout flyers, information lists, and brochures.
Assist in maintaining the appearance of the building and office.
Be able to lift boxes of brochures that could weigh up to 25 lbs.
Move tables and chairs to set up for meetings and chamber luncheon.
Mail out tourist information.
Keep websites up to date.
Maintain calendar of events and event listings on other websites.
Perform other related duties as required.
Clean office and bathrooms weekly.
Complete quarterly newsletter.
Minimum Qualifications: Must have the skills and ability to
communicate effectively and properly both verbally and in writing. All
applicants must have computer and typing skills. Must be proficient in
Micro Soft Word, Publisher, and Excel. Individual should be detail
orientated, have organizational skills, and possess a pleasant personality.
- Requirements
- High School Diploma or GED.
Formal qualification in office administration, secretarial work, or related training.
1-2 years of experience as an Administrative Secretary would be advantageous.
Advanced proficiency in managing documents, spreadsheets, and databases.
Ability to liaise internally and externally on administrative matters.
Exceptional filing, recordkeeping, and organizational skills.
Working knowledge of printers, copiers, scanners, and fax machines.
Proficiency in appointment scheduling and call forwarding systems.
Excellent written and verbal communication skills.
Exceptional interpersonal skills.
